How to Create a Sustainable Conference Kit That Attendees Actually Use

A conference kit is easy to create. A conference kit that people actually use is a different challenge.
When a university approached us to create a sustainable conference kit, the brief was clear. Every element needed to be functional, meaningful, and aligned with the values of their sustainability-focused event.
The challenge wasn't just to replace conventional products with eco-friendly alternatives.
It was to rethink every item, from the tote bag attendees would carry to the cup they would use, and create something that would remain valuable even after the conference ended.
The objective was simple:
Create a conference hamper where every product had a purpose.
The Thought Process Behind the Sustainable Conference Kit
A sustainable conference kit is not created by simply putting together a collection of environmentally friendly products.
It requires thoughtful decision-making at every step.
For us, every product had to answer three questions:
- Will attendees genuinely use this?
- Does it solve a real need during and after the event?
- Is the material choice aligned with sustainability goals?
With this approach, we curated a conference kit where every element was carefully considered, from the materials used to the functionality of each product.
1. Upcycled Tote Bag Designed for Everyday Use
The tote bag is often the centrepiece of any conference kit.
However, many conventional conference bags are designed only as event merchandise and often end up unused after the event.
We wanted to create something different.
We replaced the conventional conference tote with a highly functional bag made from our signature woven, upcycled fabric crafted from plastic waste.
The design was developed keeping everyday usability in mind. It featured:
- A spacious front pocket for easy access to essentials
- A dedicated bottle holder
- Enough space for notebooks, stationery, and everyday belongings
The idea was to create a sustainable tote bag that attendees could continue carrying long after the conference ended.
2. Recycled Paper Notepad Instead of a Traditional Diary
Conference diaries have become a standard part of event gifting.
However, many of them see limited use once the event concludes.
For this three-day conference, we chose a sleek recycled paper notepad that served the actual purpose, capturing ideas, discussions, and important notes throughout the event.
A sustainable alternative does not mean compromising on functionality.
It means understanding the requirement and designing accordingly.
3. Bamboo Pen as a Sustainable Stationery Alternative
Small details matter when creating a sustainable event kit.
The pen included in the conference kit was made from bamboo, offering an alternative to conventional plastic pens while maintaining everyday usability.
Sustainability is not achieved through one single change. It is built through multiple conscious choices across the entire experience.
4. Plastic-Free ID Card for a Sustainable Event
Sustainability needs to be considered across every touchpoint.
While larger products often receive the most attention, smaller event essentials also contribute to waste generation.
To stay aligned with the sustainability goals of the conference, even the ID card was designed to be completely plastic-free.
5. Rice Husk Coffee Sipper to Reduce Single-Use Waste
The highlight of the sustainable conference kit was the coffee sipper made from rice husk.
During conferences, attendees often rely on disposable cups for tea and coffee throughout the day, creating unnecessary single-use waste.
By including a reusable coffee sipper, attendees could reduce their dependence on disposable cups during the conference while continuing to use it in their everyday lives afterwards.
Sustainable Gifting Is About Better Design
